Committee Reports :. – Outreach mailings: (update on last month’s mailing) 350 mailings sent out. Not as many volunteers as last time. Our meeting had 61 mailings. Calls:-. 11/7/10- call from Kelly, who attended meeting. Inquiry email from Meredith on 11/28/10 re: CoDA in general. Steve from Y’town called and wants to attend (he did attend 12/11/10 meeting).
Old Business: (1) Holiday meetings. Cindy proposed announcement flyer for approval. Update 12/11/10: No meeting on 12/25/10. Max will put up a sign on the Church door that day with contact information along with notice of meeting cancellation. Meeting will be held on 1/1/11 at Sharon’s house. Sharon will put a sign up on the Church door that day with contact information re: meeting location. Cindy S. has updated the website and NOCI to reflect this information re: meeting/location changes for the two holidays.
New Business: Home Group Issues: (1) There is an INTERGROUP event scheduled for tomorrow, December 5th 2-5PM in Tallmadge. Flyer is in clipboard. It is a social, informative and pleasant way to mingle with members who are part of the 16 Home Groups included in Northern Ohio CoDA Intergroup (NOCI). All are welcome. Closing Announcements: none. 4.Old Business: Re: issue of Portage County Coda meeting: willing to support it if interest is there. Re: NOCI and online meetings- Cindy was not at last meeting. No word yet on whether to include in meeting lists.
5.New Business: Home Group Issues: (1) Quarterly Step Workshop on Steps 10-12 will be held at Cindy’s home on Sunday, 11/28/10, from 1-ish to 5. Directions are available in the clipboard at the meeting. (2) Cindy said she would update the meeting binder. Debbie said she would update the Home Group Members & Service list. (3) Max brought up the question of meeting on 12/25/10 and 1/1/11 holidays. Is the building going to be open? If not, is there an alternate meeting location for those who want to attend? Cindy said she would talk to Linda about calling the church contact person to see if the building will be available on both dates for our meeting. Attendees were: 11/11/10 Addendum to Minutes Question #1. Our Treasurer, Linda W. called Kathy in the Church's office about the available access into building on Dec. 25th and Jan. 1st. BUILDING WILL BE LOCKED. 1. The two meeting rentals will not be charged to Home Group. 2. Home Group needs to consider advertising this lock out early. Prepare?: Make an outside sign for Church's entry door, tell others by emails and place an announcement on NOCI web site . A. (This week the CoDA Meeting has been cancelled due to building restriction) OR Question #2 Arrange another meeting place? Provide a temporary address and have a phone number contact. As of today (11/12/10), 2 members have voted for Option 1 (meet at another location and use sign to direct those to alternate meeting location. Two members have stated they will not be able to attend. CoDA 11/6/10

Old Business: RE: Interest in starting a CoDA Home group in Portage County i.e. Kent and Ravenna areas. Last month’s attendees were asked if they received any responses to our inquiry of interest and suggestion about this endeavor. Max will continue to search for information and possible locations. Linda and Debbie replied to the questioning email they received. Cindy presented a document which held 11 email replies. See attachment Cindy made a motion to table the new home group proposal until actual attendees are discovered. Online CoDA meetings are still stored in the Freebie binder. And we will await NOCI’s recommendations on presenting this site to newcomers. Our GSR did not attend September’s NOCI meeting, so this issue was not addressed.

Committee Report :. – Outreach mailings: We recalled that policy was passed on the service of updating (semi-annual) Outreach mailings. August would be the month to prepare our 61 contacts for Intergroup’s mailing in November. March would be the month to again prepare our contacts for Intergroup’s mailing in May. Committee to do this task is Debbie V., Jon F. and Tabitha V. As of today, both Debbie and Jon have completed their tasks. Next Saturday is NOCI meeting and these completed sheets will be given to Outreach Chairperson, PatriciaW@northernohiocoda.org

Old Business: We recalled that Online CoDA meetings are now stored in the Freebie binder. And we will await NOCI’s recommendations on presenting this site to newcomers. New Business: Home Group Issues: Debbie V. noted that Portage county has no CoDA Home Groups at all. Debbie, Max, Cindy and Jon mentioned they have contacts who could be asked for feedback on the necessity of opening and starting a new weekly Home Group in near by Kent. We discussed the rental costs and the commitment our attending members would be responsible in Using the CoDA Starter Packet and handling all the arrangements for an additional weekly site. Possible sites that currently have Twelve Step meetings (AA) were suggested – such as
A motion was consider that those of us in attendance would begin inquiring: “What is your opinion on the interest and need for starting a NEW CoDA Home Group in the Kent/Ravenna area”? We would supply that information for the next GC meeting on Saturday, October 2nd. Cindy received approval to forward these minutes to NOCI Visitors who have been getting CoDA information via email. Committee Report :. – Help is needed this month to have volunteers to make calls to verify information on our CF 020 contact list and to see if they still want Coda literature mailed to them. It would be about 15 calls a person. Debbie and Cindy are doing some calls.

New Business: Home Group Issues:
UNDER POLICY MAKING AND SCHEDULING OF ANNUAL TASKS:
It is a hope of putting a CoDA OUTREACH schedule in place; #1.. Purpose: to get the CoDA word out by attraction rather than promotion. CoDA first is given a request or approval for receiving CoDA literature. In sending literature to each Home Group's area; Data is collected. Service persons who refer newcomers to CoDA meetings such as: Medical Professionals, Churches etc....each Home Group creates a data base to call and to confirm the recipient address & name. This information becomes CoDA OUTREACH MAILING LIST. #2. Process: List is submitted to Intergroup's Outreach Committee. Twice a year, MAY and NOVEMBER, there is a mass mailing of envelopes: Enclosed is: 1.Cover letter, 2. What is CoDA Pamphlet, 3. Meeting list of all Home Groups in NOCI. 4. CoDA flyer with tear off side tabs. This is all mailed to each recipient. #3. Policy: In 2010; NOCI meetings are held every-other month..1-3-5-7-9-11. Home Groups are asked to submit a confirmed mailing list for May's Outreach event to Outreach Committee chair at the second Saturday of March meeting. It would be prudent for our Home Group to arrange this volunteer duty each FEBRUARY. and again; Home Groups are asked to submit a confirmed mailing list for November's Outreach event to Outreach Committee chair at the second Saturday of September meeting. It would be prudent for our Home Group to arrange this volunteer duty each AUGUST. #4. Task: During February and August: Enlist 1-3 volunteers who will divide the current Cuyahoga Falls #020 list of contacts to call. They will spend a day or two on the phone to Update the list. They are asked to call each contact and Confirm the wish to continue receiving CoDA material and Correct any changes in data. It is helpful to have a name " Attention of __________ for the mailing. If wished; additional contacts from yellow pages, city directories etc may be approached and included on the list. Return the updated work to Secretary or Group Service Rep who will compile a more current Outreach Mailing list. NOCI meetings in March and October will get this new Home Group list.
· August 22 is Sunday's Quarterly 7-8-9 meeting. · Online Coda meeting schedule—Cindy will take information to NOCI in September for sanctioning on our list. Some members were interested in getting together to attend an online meeting at Deb’s place to see how it goes. [4 members did attend a meeting]

New Business: Home Group Issues: · Can we remove the contact list for home group members from our website for confidentiality reasons? Home Group’s Website is within the access of NOCI’s website; only three Home Groups have made use of this feature. #020 Cuyahoga Falls #140 Tallmadge #160 West Akron. Members felt that Names and Phone numbers offered AT THE MEETING and picked up by a newcomer would be the best CoDA policy. To place such information into the general public was NOT NECESSARY. That alone is Good Policy – Document will be removed today.: · Limiting sharing time to 5 minutes IN VIEWING CHAIR’S CAUTIONS PRIOR TO THE OPENING THE MEETING FOR SHARING; WE FOUND THE WRITTEN FORMAT INCLUDES THE REQUEST TO “SHARE FOR 3-5 MINUTES” · In re: to committees, experienced members to serve in Home Group Duties NOT URGENT: TABLED FOR NEXT MONTH’S MEETING. · Create a list of Service with Dates, i.e. outreach helpers 2x a year. It would be nice if a ‘committee’ (such as three people) could help by dividing the calling list by each calling 10 names.

3. Old Business & Committee Report : b) New Business: Discussion: · Max clarified how the chair facilitates the meeting and arranges for a lead if he/she desires. It can be a mini-lead that is 15 minutes of the meeting, or it can be a much longer lead that is likened to an “AA” lead meeting. It can be someone from intergroup or one of our own members. Max asked whether intergroup was trying to update their list of people willing to do leads. · Jon expressed how powerful a lead can be within the meeting context, particularly if the person has had at least a year of recovery. Concerned with our meeting being a lead oriented meeting, he stated he appreciated our meeting the way it is, and would be open to having leads as long as it was not every meeting of the month. · Sheree shared that she appreciated the openness of the meeting format especially when chair kind of does a mini-lead. She asked whether it would be possible to incorporate some of the personal stories from the Coda blue book. · Adam stated that he has attended meetings with a variety of formats. He shared how a mini-lead (10 minutes) on a step has been cool. He would like to see if we could have a long lead meeting 1-2x a year. · Matt shared that in his experience, some groups have had leads when there are 5 meetings in a month, so in our case, when there are 5 Saturdays in the month, the 5th Saturday would be the lead meeting. · Max stated that it is helpful from his perspective, to have a lead of some sort [chair’s choice] 1x a month, and to use intergroup resources. Jon and Matt agreed with Max’s opinion. · Max asked for clarification from Cindy S. re: agenda item. · Several members [Debbie V., Max G., and Adam P.] agreed how a previous lead on genograms had been beneficial in that it helped individuals to work their program, and work out conflict in a safe environment. 4.
